  • Responsibilities

    Based in Luxembourg, the individual will coordinate with internal and external parties for the fulfilment of legal, regulatory and operational requirements for Oaktree’s SICAV and AIF funds domiciled in Europe.

     

    Responsibilities will include:

     

    • Coordinate between the various funds’ administrators, other relevant third-party vendors and Oaktree’s internal corporate stakeholders (including Legal, Compliance, Marketing and Investment Management) to support all product lifecycle events including share class additions, changes or closures, investors’ notifications and the introduction of new product features (e.g. hedging services, new custody account opening);
    • Be the central point of contact to coordinate fund approvals and registrations in the different jurisdictions where they are required and to monitor and maintain their ongoing status;
    • Manage the appointment of local paying agents or any other agents as required, and monitor their service standards to ensure they continue to provide quality support to our distribution efforts within the relevant jurisdictions;
    • Coordinate between our legal, marketing, investment management and all other internal parties in ensuring all fund documentation is kept up to date and relevant to the product and marketing needs;
    • Assist marketing in the operational setup and ongoing support of all distribution platforms in Europe;
    • Coordinate the production of monthly fund governance reporting for distribution to all key stakeholders across Oaktree globally;
    • Serve as the central contact and coordinator for marketing queries globally from other Oaktree offices who may wish to utilise the SICAV and AIF funds as part of their sales offering. This will also include support for onboarding investors from potentially higher risk jurisdictions;
    • Assist the existing Oaktree AIFM conducting officers in their ongoing monitoring roles on vendor adherence to service levels and provide reporting on such to the relevant fund and/or management company boards;
    • Take on new conducting officer responsibilities within the Oaktree AIFM that may result from recent changes in regulations;
    • Assist in the coordination of quarterly board meetings for the funds;
    • Provide support to the business for small project changes by coordinating activities with vendors as required;
    • Oversee vendor adherence to service levels and provide reporting on such to the relevant fund and/or management company boards;
    • Regularly touch base with key departments who may manage or be responsible for activities that will influence changes around these funds (e.g. Legal, Compliance, Marketing and Client Services) to anticipate and plan for future work;
    • Continuously assess effective processes covering all the above activities; and
    • As capacity allows, providing additional support to the product launch process in London and Los Angeles.

    Qualifications

    • Minimum 8 years’ experience within the financial services/investment sectors, preferably with a US company in Luxembourg;
    • Relevant product experience with particular focus on Lux domiciled SICAVs and AIFs;
    • Experience of dealing with fund specific, third parties relationships including (but not limited to) transfer agents, paying agents, administrators and distributors;
    • Direct experience within transfer agency or in a relationship management role across an administrator would be of strong interest;
    • Proven ability in developing structured processes and procedures around operational activities;
    • Proven ability to manage tasks with competing priorities and deadlines, and self-initiating other value-added tasks; and
    • Strong working knowledge of Microsoft office applications including Excel, Word, Outlook and PowerPoint.
